Q. 1. What is the minimum time period that someone is required to be a clinical supervisor | A. 1. We aim to recruit doctors who anticipate being available for at least a year, but the minimum period you should commit to undertake the role is 6 months |
Q. 2. What happens if I do not have a contract with the hospital I am based at | A. 2. For Cambridge-based clinical supervisors if you do not have a contract with either Addenbrookes Hospital or Papworth Hospital an Honorary Contract is required in order for you to undertake bedside teaching in the hospital. These usually take up to 6 weeks to be processed by Medical Staffing at Addenbrookes. Details are on the application form of how to apply. It is the applicant's responsibility to make sure that this is in place before carrying out any supervisions |
Q. 3. Can I choose which year group I would like to supervise | A. 3. Cambridge-based applicants are able to state a preference on the application form for a Year 4, Year 5, Year 6 or a mixed Cambridge Graduate Course (CGC) and MBPhd group or can opt to be allocated to any year group. However, this is just a preference and any applicant may be offered a different group once on the Reserve List. For applicants in Paediatrics department the only year group who can be allocated a Paediatric clinical supervisor is Year 4. For those based in the regional hospitals please contact your local administrator |
Q. 4. Can I choose which college group I would like to supervise | A. 4. If you are Cambridge-based, you can let us know on your application form about any affiliation you have with a Cambridge College. You may not be offered a group from the College(s) you have an affiliation with but where possible we will try to match you with your preferred college group |
Q. 5. Can I keep the same group for a number of years | A. 5. We aim to appoint Undergraduate Clinical Supervisors who will continue with their supervision group from the start of the course through until graduation (3 years for the standard course, 6 years for the MB/PhD programme) |
Q. 6. Can I update my details on my clinical supervisor application form after it has been submitted | A. 6. If you need to amend anything on your application after you have submitted it you should e-mail the relevant administrator. Q. 7. How will I know if there are vacancies for clinical supervisors and when will I hear if there is a clinical supervisor position available to me | A. 7. If you are Cambridge-based, once you are on the Reserve List you will be contacted by e-mail with an appointment letter ONLY when we have a suitable vacancy for an Undergraduate Clinical Supervisor. Please do not e-mail to ask if here is a vacancy as you will only be contacted when there is a vacancy. This may mean that once you are on the Reserve List you may not hear for a period of months at a time but you will remain on the Reserve List for as long as you wish to or are available to commit to the role. If you are based in a regional hospital or in Paediatrics at Addenbrookes you should contact the relevant administrator for more information |
Q. 8. What is the Clinical Supervisor Recruitment Video | A. 8. Cambridge-based applicants should please watch the Recruitment Video before submitting an application form. This provides information about the role. For Paediatrics and regional based applicants you are welcome to view the Recruitment Video which, alongside explaining the Clinical Supervisor programme, explains the Cambridge clinical course and what is expected of a clinical supervisor. Recruitment processes vary between each department/regional hospital and if you have further questions you should contact the relevant administrator for more information |
Q. 9. When do I get put on the Reserve List | A. 9. The Reserve List applies to Cambridge-based applicants ONLY who have submitted an application form AND watched the Recruitment Video. Once an applicant has submitted an application they will automatically be placed on the Reserve List |
Q. 10. Can I update my details or remove myself from the Reserve List | A. 10. As the Reserve List applies to Cambridge-based applicants you can send any amendments to your availability or details to clinicalsupervisors@medschl.cam.ac.uk. This is also the e-mail address to contact if you want to be removed from the Reserve List. It is the responsibility of the applicant on the Reserve List to keep their details up-to-date. In particular if your availability changes and you are no longer able to commit to the role you should remove yourself from the Reserve List as soon as you are aware of this because once an appointment is made, those on the Reserve List are expected to be able to take up the role within a week of being appointed |
Q. 11. I have a Raven login/CRSid already. What do I do in this instance ? | A. 11. Tell us your CRSid (which is the first part of your Raven login) on your application form. It will be in the format of your initials and some numbers e.g. (ab123) followed by @cam.ac.uk. Details of how to log in to CamCORS and how to submit reports can be found on their website: www.camcors.cam.ac.uk. Please note that CamCORS access is not required for clinical supervisors who are not Cambridge-based. |
Q. 12. I DO NOT have a Raven login/CRSid. How do I get one so that I can log into CamCORS to submit my reports? | A. 12. Tick the box on the application form so that a Raven login can be requested for you once you are appointed. University Information Services will then contact you directly. You then just need to provide the School with your CRSid (first part of your Raven login) which will be in the format of your initials and some numbers e.g. (ab123) followed by @cam.ac.uk. Send it by e-mail to clinicalsupervisors@medschl.cam.ac.uk so that you can gain access to Moodle and so that various online systems can be updated on your behalf to show that you are a College employee. Please note that CamCORS access is not required for clinical supervisors who are not Cambridge-based so if you are not applying to be Cambridge clinical supervisor you do not need a Raven login. |
Q. 13. I am experiencing problems with CamCORS. What can I do? | A. 13. Please visit the CamCORS website: www.camcors.cam.ac.uk. There are links to contact the colleges directly, a CamCORS helpdesk e-mail address, CamCORS manuals and their own FAQs |
Q. 14. Will I be a member of the college(s) I am linked with? | A. 14. For Cambridge-based clinical supervisors only, once appointed, you will be linked with a college(s) but you are not technically a college member. If you want to get more involved in college activities you are best off contacting the Director of Clinical Studies of the college(s) who will be able to advise you further. |
Q. 15. I have received my appointment letter. What do I do now? | A. 15. As soon as you receive your appointment letter with the contact details of your group, it is your responsibility to make contact with the students to introduce yourself and arrange the supervisions. Ideally supervisions will start as soon as possible after that but if you cannot start the supervisions straight away then please still introduce yourself straight away and give the students an idea of the earliest you will be able to to get started with the supervisions. |
Q. 16. What is a Clinical Supervisor Induction Event | A. 16. There is one induction event at the start of the Academic Year (in September) when there is the largest turnover of clinical supervisors. This may be either run at the Clinical School or remotely via Zoom, normally on a weekday early evening. It is not mandatory to attend but can be useful to meet other new clinical supervisors and to get more information about how to carry out supervisions |
Q. 17. How will I know which topics to cover with my students | A. 17. The Virtual Learning Environment has pages for Undergraduate Clinical Supervisors (you will be given access once appointed). This has information about what topics to cover and when. In addition, reminders about when to cover certain areas or preparation for upcoming exams are sent via the termly Clinical Supervisor Newsletter which is sent via e-mail to all current clinical supervisors |
Q. 18. What happens when my students rotate to other hospitals in the region | A. 18. Whenever your students are on attachment at other hospitals they will have clinical supervisions with the appointed clinical supervisor at that hospital. The students will not therefore expect to have sessions with you when they are not at your location. This may mean that you frequently have only a small number of students available for supervisions |
Q. 19. What do I get paid for being a clinical supervisor | A. 19. For Cambridge-based clinical supervisors please watch the Recruitment Video. For Paediatric or regional clinical supervisors you should contact your local administrator |
Q. 20. How do I get paid for clinical supervisions | A. 20. For Cambridge-based clinical supervisors, the Colleges pay you for the supervisions you give. Your payment claim is automatically submitted when you complete your assessment forms on CamCORS. The Colleges will usually take off tax and national insurance but you are responsible for ensuring this is income is then declared in your annual self assessment tax return. If you are a Paediatric clinical supervisor or a regional clinical supervisor in one of the regional hospitals you will be paid by that department or Trust. Q. 21. When do I get paid for the supervisions | A. 21. For Cambridge-based clinical supervisors, most Colleges will make supervision payments on a quarterly basis. If reports are submitted late in a quarter payment may be delayed until the next quarter. If you are a Paediatric clinical supervisor or a regional clinical supervisor in one of the regional hospitals you will be paid by that department or Trust. Q. 22. What college facilities will I be able to use | A. 22. Cambridge-based supervisors only: Colleges are independent institutions and granting of use of their facilities is at each College’s discretion. The request should be made by the Clinical Supervisor to the College’s Director of Clinical Studies. College facilities might include: Library, Common Room(s), Dining Hall, Bar, Parking spaces, sports facilities, the ability to request tickets for events, the ability to request/book rooms in the College to carry out supervisions, the ability to request to participate in college medical society events etc. |
Q. 23. Can I claim expenses for room bookings/printing materials, etc | A. 23. As you will be paid for your supervisions unfortunately no expenses can be claimed for materials or such-like |
Q. 24. Do I need to do any training to become a clinical supervisor | A. 24. The only compulsory training is a short online Equality & Diversity training course that needs to be completed within one month of you starting as a clinical supervisor. Details of how to access the training are detailed in the appointment e-mail/letter. Once complete you should e-mail your certificate to your local administrator to keep on file. Q. 25. Do I get feedback on how I am doing as a clinical supervisor | A. 25. Yes. Students are asked a standard set of questions twice a year about you as a clinical supervisor. The feedback reports are then generated and sent to the relevant hospital/department. The relevant hospital/department then arranges annual appraisals. A copy of the report is given to the clinical supervisor at the meeting for his/her portfolio |
Q. 26. When are appraisals carried out and how do I get an appraisal | A. 26. Usually between January and March each year approximately. Cambridge-based clinical supervisors book themselves onto a 15 minute slot via Moodle. Those based in the regions or paediatrics should contact their local administrator for details |
Q. 27. What training is available to assist me in being a clinical supervisor | A. 27. The School of Clinical Medicine's Integrated Foundations of Medical Education (IFME) programme is a training programme and places on the programme are reserved for newly appointed undergraduate clinical supervisors. Q. 29. What is the VLE and how do I get access to it | A. 29. The Virtual Learning Environment (VLE) (Moodle) contains information that all Clinical Supervisors, whether based in Cambridge, at Addenbrookes and in Paediatrics or in one of our Regional Hospitals will need access to. Once appointed you will be given access. There is also a student-facing VLE (MedEd). Clinical supervisors can request a login for MedEd (via the Moodle pages) so that they can see the information provided to students. Year 4 Cambridge clinical supervisors will require a login to grade their students' Year 4 Case Write Ups (also known as Clinical Writing and Presentations) |
Q. 30. What do I do if I am having problems contacting the students in my group or if I have concerns about a student | A. 30. You should let the appropriate administrator know by e-mail in the first instance. If you have concerns about a student You should make early contact the Director of the Clinical Supervision programme or relevant Sub-dean for the hospital you are based at or Paediatric manager as appropriate. If you are not sure who to contact, ask the relevant administration team. Details of the Addenbrookes Clinical Sub-dean for Welfare are on the UCS pages on the VLE if you feel there is an urgent need to highlight an issue about any student |

Q. 32. I am a Year 4 Addenbrookes Clinical Supervisor. I have heard about Year 4 Case Write Ups but do not know what to expect from my students and what to do | A. 32. Each of your Year 4 students in your supervision groups are required to submit 3 x case write-ups (one per term). It is your responsibility to ensure that you have received the case write ups and to grade them. More information about this can be found on the Moodle. Q. 34. I want to resign from the position of clinical supervisor; what do I do, how much notice do I need to give and do I need to notify the students in my group | A. 34. Contact the relevant administrator by e-mail giving ideally 4 weeks' notice and a minimum of 2 weeks' notice to resign from the post. This is to allow for a suitable replacement clinical supervisor to be appointed to maintain continuity of supervisions. It is a good idea to inform your student group as soon as you know that you will be leaving the position |
Q. 35. How much notice do I need to give to resign from the post of clinical supervisor | A. 35. Cambridge-based clinical supervisors are asked to provide 4 weeks' notice. In emergency situations a minium of 2 weeks' notice is needed in order to find a suitable replacement clinical supervisor. Others should contact their relevant administrator to check if unsure |
Q. 36. Do I need to notify my students that I am resigning from the post | A. 36. It is a good idea to inform your student group as soon as you know that you will be leaving the position |
Q. 37. How does it work if I am handing over a group of students to another clinical supervisor | A. 37. The clinical supervisor appointed to replace you will be given your name and e-mail address in their appointment letter and they are encouraged to contact you to discuss what has already been covered with the group to date. Please co-operate to ensure a smooth hand-over from one clinical supervisor to another for the benefit of the learning of the students |
Q. 38. Can I remain on the IFME programme if I am no longer a clinical supervisor | A. 38. Places on the IFME programme are protected for those that are newly appointed as clinical supervisors. If you have completed 6 months as a clinical supervisor and you resign after this period, it will be up to the Director of the IFME programme in consultation with the Director of the Clinical Supervisor programme to decide on whether you may remain on the IFME programme based on your reasons for resigining. If you do not complete 6 months as a clinical supervisor you will not be able to remain on the IFME programme |
Q. 39. I am currently FY1 but will be starting at a new hospital as FY2 in August. Can I apply now? | A. 39. If it is AFTER the February hospital rotation and you know you will be starting as FY2 in a new hospital from the August of the year in which you are applying AND you know which hospital you will be rotating to in the August then you will be able to put in an application on this basis. |
